1. Acceptance of terms
These Terms of Use are an agreement between you and LetterLeaf AB, org. no. 559596-2431, Sjöviksvägen 88, 117 57 Stockholm, Sweden (“LetterLeaf”, “we”, “our” or “us”). By accessing or using LetterLeaf you agree to be bound by them. They apply to our website, the LetterLeaf application, AI-driven email assistant tools, and any related services or features.
If you do not agree with these terms, please do not use our services.
2. Eligibility
You must be at least 16 years old to use LetterLeaf. By using our services, you confirm that you have the legal capacity to enter into a binding agreement and, if applicable, have authority to act on behalf of any organisation you represent.
3. Account registration
To use LetterLeaf, you must create an account with accurate and complete information. You are responsible for:
Maintaining the confidentiality of your login credentials
All activity that occurs under your account
Notifying us immediately of any unauthorised access
We reserve the right to suspend or terminate accounts that violate these terms or are inactive for an extended period.
4. Acceptable use
You agree to use LetterLeaf only for lawful purposes. You may not:
Use our services to send spam, phishing emails, or malicious content
Attempt to reverse-engineer, decompile, or extract source code from our platform
Use the service to violate any laws, regulations, or third-party rights
Upload content that is illegal, harmful, infringing, or offensive
Resell or redistribute our services without written permission
Use automated tools to overload or disrupt our infrastructure
We reserve the right to suspend or terminate access for any violation of these terms.
5. AI features and output
LetterLeaf provides AI-generated suggestions, including email categorisation, replies, summaries, and sentiment analysis. You acknowledge that:
AI output may contain errors or inaccuracies
You are responsible for reviewing and approving any AI-generated content before sending
LetterLeaf is not liable for actions taken based on AI-generated suggestions
You retain ownership of your emails, documents, and other content you upload. We do not claim rights to your data, and we do not use it to train AI models.
6. Your data and privacy
How we collect, use, store and protect personal data is described in our Privacy Policy, which forms part of these terms. In short: LetterLeaf is built and operated from Sweden, AI processing runs inside the EU, message content is stored encrypted, and nothing is used to train models.
7. Data processing for business customers
If you use LetterLeaf on behalf of a company or organisation, the inboxes you connect contain personal data about your customers, colleagues and other third parties. For that data you are the controller and LetterLeaf AB is your processor under Article 28 of the GDPR. This section is our data processing agreement with you:
We process customer content only to provide the service and only on your documented instructions, which are these terms and the settings you choose in the app.
We use the sub-processors and security measures described on our Security page. We tell you before adding a sub-processor, and you may object.
Everyone at LetterLeaf with access to customer content is bound by confidentiality, and such access is logged.
We help you respond to data subject requests and, where required, with data protection impact assessments, and we notify you without undue delay if we become aware of a personal data breach affecting your data.
When you disconnect an inbox or delete your account, we delete the related content as described in the Privacy Policy.
You may audit our compliance by requesting our security documentation; on-site audits are limited to once a year and reasonable notice.
Personal data is processed in the EU. Where a sub-processor is outside the EU, transfers rely on the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.
Organisations that need a separately signed data processing agreement can request one at support@letterleaf.io.
8. Subscription and payment
LetterLeaf offers paid subscription plans. By subscribing, you agree to:
Pay all applicable fees in advance, on a monthly or annual basis
Authorise automatic renewals unless cancelled
Provide accurate billing information
Payments are processed by Stripe; card details never touch our servers. Prices may change with 30 days’ notice. Refunds are handled on a case-by-case basis.
9. Free trials
We may offer free trials with limited usage (e.g. 7 days, 90 AI credits). At the end of the trial, your account will not automatically convert to a paid plan unless you choose to subscribe. We reserve the right to modify or discontinue free trial offerings at any time.
10. Cancellation and termination
You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of the current billing period. You may also delete your account at any time in the app; the Privacy Policy describes what is removed.
We may terminate or suspend your access immediately, without notice, if you violate these terms or engage in conduct that could harm LetterLeaf, other users, or third parties.
11. Intellectual property
LetterLeaf, including its logo, brand, software, and content, is owned by LetterLeaf AB or its licensors. You may not copy, modify, or distribute any part of our platform without prior written permission.
You retain ownership of content you upload. By using our services, you grant us a limited licence to process your content solely for the purpose of providing LetterLeaf to you.
12. Service availability
We aim to provide reliable, uninterrupted service but cannot guarantee 100% uptime. LetterLeaf may be unavailable due to maintenance, updates, or factors beyond our control. We are not liable for losses caused by service interruptions.
13. Disclaimers
LetterLeaf is provided “as is” and “as available”. We make no warranties, express or implied, regarding:
The accuracy or reliability of AI-generated output
The fitness of our services for any particular purpose
The uninterrupted or error-free operation of our platform
You use LetterLeaf at your own risk.
14. Limitation of liability
To the maximum extent permitted by law, LetterLeaf AB and its affiliates shall not be liable for any indirect, incidental, consequential, or punitive damages, including loss of data, profits, or business opportunities, arising from your use of our services.
Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.
15. Indemnification
You agree to indemnify and hold harmless LetterLeaf AB, its founders, employees, and partners from any claims, damages, or expenses arising from your use of our services, your violation of these terms, or your violation of any third-party rights.
16. Governing law
These Terms of Use are governed by the laws of Sweden, without regard to conflict-of-law principles. Any disputes shall be resolved in the courts of Stockholm, Sweden. Nothing in these terms limits rights you have as a consumer under mandatory law.
17. Changes to these terms
We may update these Terms of Use from time to time. Significant changes will be communicated via our website or email. Continued use of LetterLeaf after changes means you accept the updated terms.
